Privacy Policy

Overview

InterCon (“we”, “us”) operates intercon.live. This policy explains what information we collect, why, who can see it, and how you can have it changed or deleted.

Browsing InterCon doesn’t require an account or any personal information. The only time we ask for personal information is when a student takes part in InterCon Studio: signing up for an event or asking us to email them the link to their entry.

Browsing InterCon

  • Usage data such as pages visited, collected automatically by our hosting provider
  • Saved schools and your comparison list, stored in cookies in your browser. They hold school IDs only, and we don’t use them to identify or track you.

InterCon Studio sign-ups

When a student signs up for a Studio event, we collect:

  • First and last name
  • School, and school email address
  • Whether they are taking part as a player or on the production crew, and for crew, the roles they’d like in order of preference
  • For crew, the role organizers assign them, or that they are on standby
  • When they signed up, confirmed, changed or cancelled their entry, and when they agreed to this policy and the event’s safety rules

Why we use it

  • To check that participants are current international school students in Japan
  • To organise the event: school qualifiers, the bracket, and assigning production crew roles
  • To email the participant about that event, including the link to confirm, change or cancel their entry, and their crew role
  • To keep a record of the events they’ve taken part in and the roles they played, for the InterCon Portfolio we plan to offer, where students will be able to see their past events

We don’t send newsletters or marketing, and we never sell or rent personal information.

If you ask us to email you your entry link, we send an email to the address you typed whether or not it has a sign-up, so that only the owner of that address learns if it does. We don’t keep addresses that have no sign-up.

Bot check

Studio forms that send an email use Cloudflare Turnstile to check that a person, not a script, is sending them. To do this, Cloudflare looks at technical details of your browser and your IP address. We don’t store the result.

What is public

  • Event pages list participating schools and how many players each has. Names and email addresses are never published.
  • School champions and results appear on the event page under a gamer tag, not a full name.
  • Public events are streamed and published as videos (for example on YouTube, Twitch and Instagram), so participants may be seen or heard there. Each event page says whether the event is public or private.
  • InterCon may earn income from published content, for example from advertising on these videos. Students take part as volunteers and are not paid, and this doesn’t change what we collect or who can see it.

Who can see it

Only InterCon’s organizers. Our service providers store and send it on our behalf (see below), and we’ll share it with others only if the law requires us to.

Where it is stored

Sign-up information is stored in a database run by Neon, on servers in Singapore, so it is kept outside Japan. Emails about an entry are sent through Cloudflare.

How long we keep it

We keep sign-up information so your event history can appear in your InterCon Portfolio. It stays until you ask us to delete it, and you can ask at any time (see “Your choices” below). If we ever stop offering the Portfolio, we’ll delete information we no longer need.

Participants under 18

A parent or guardian’s consent is required for participants under 18. When signing up, students under 18 confirm that a parent or guardian has agreed to them taking part, including appearing on stream and in published videos. Parents and guardians can contact us to see, correct or delete their child’s information.

Your choices

  • Until registration closes, the link in your confirmation email lets you change or cancel your entry yourself.
  • At any time, email studio@intercon.live from your school email address to ask us to:
    • send you a copy of the information we hold about you,
    • correct anything that’s wrong, or
    • delete your information, including your event history.
We’ll reply within 30 days. A parent or guardian can ask on behalf of a student under 18.

Third-Party Services

We use the following third-party services:

  • Mapbox — for map displays. Subject to Mapbox's privacy policy
  • Cloudflare — for hosting, analytics, sending Studio emails, and the Turnstile bot check on Studio forms. Subject to Cloudflare's privacy policy
  • Neon — for database hosting (servers in Singapore), including Studio sign-ups
  • Apple iCloud Mail — for email sent to InterCon’s addresses

Cookies

We use cookies only for things the site needs to work: remembering your saved schools and comparison list, and keeping organizers signed in to the admin area. We do not use tracking or advertising cookies. Studio sign-ups don’t use cookies.

Data Retention

Saved schools and comparison lists stay in your browser’s cookies for up to a year and can be cleared through your browser settings. Studio sign-up information is kept as described above.

Changes

We may update this policy from time to time. Changes will be reflected on this page with an updated date.
